Peak Astronomy is committed to ensuring that your privacy is protected. The policy sets out how Peak Astronomy uses and protects any information that you provide or that is collected from you whilst you visit our website. Peak Astronomy is operated alongside myGuidedWalks by one team and sharing the same IT infrastructure and booking system and hence the same Privacy Policy applies although the data collected will vary slightly based on the differing needs of the activities and any requirements from our Insurers as we have a separate insurance policy for each side of the business. The policy will be updated from time to time by updating this page. You should check this page periodically to ensure that you are happy with any changes.
What we collect
In running and maintaining the website and other activities of Peak Astronomy we may collect and process the following information:
Contractual Information
Information we collect for the purpose of invoicing, maintaining financial and tax records, processing bookings and event management.
The lawful basis for processing this personal data is “Contract”. This is defined as data required to fulfil our contractual obligations to you; or because you have asked us to do something before entering into a contract such as provide a quote.
This data includes: name, address, email address, phone number, selected event to book, number and details of participants and the event you are wanting to book etc. It also includes a record of your agreement to our participation statement, equipment & clothing statement, medical disclaimer, terms & conditions and privacy policy.
The retention period for this data is 7 years
Record of consent
Information we collect for the purpose of recording whether you agree to the use of contact information to send information about future activities, special offers or other information which we think you may find interesting and information we collect for the purpose of recording whether you agree to the use of contact information for market research purposes.
The lawful basis for processing this personal data is “Consent”. This is defined as being an unconditional clear affirmative action, freely given and with the right to be withdrawn at any time.
This data only includes your decision as to whether to provide consent or not.
We regard your consent as having a duration of 5 years from your last contact, enquiry or booking.
Emergency information
Information we collect for use in emergency situations or when dealing with emergency services.
The lawful basis for processing this personal data is “Legitimate Interest”. This is defined as using people’s data in ways they would reasonably expect and which have a minimal privacy impact.
This data includes: date of birth, emergency contact name, emergency contact relationship, and emergency contact phone number.
The retention period for this data is 3 months from the event.
How you heard about us
Information we collect for the purpose of providing an insight into the effectiveness of our marketing.
The lawful basis for processing this personal data is “Legitimate Interest”. This is defined as using people’s data in ways they would reasonably expect and which have a minimal privacy impact.
This data only includes a record of how you stated you heard about us.
The retention period for this data is 6 years from your last enquiry or booking.
Medical information
Prior to the start of your activity you are requested to identify any medical conditions, injuries or medication being carried that the leader of your event should be aware of. As this information is sensitive this is not recorded and you can choose not to provide this information to the leader of your event.
Google Analytics
We use Google Analytics to help us improve our website and our services to ensure they meet the needs of customers and visitors to our website.
Google may gather anonymized information about your use of the website including details of your visits, including pages viewed and the resources you access. This information includes traffic data, types of device and browser used, location and data and other communication data.

Photographs & Social media
Peak Astronomy often publishes photos taken during activities on their social media and occasionally on their website.
If you prefer not to be included in these photos please make this known to the event leader at the start of the event.
Anyone can request a photo of themselves to be removed at any time by contacting Peak Astronomy.
Peak Astronomy does not tag anyone in photographs unless asked to by the individual, however individuals can tag in accordance with their own privacy settings.
The above includes information that you provide when you communicate with us by any means.
What We Do Not Collect
If you’re using a secure online payment system to make purchases, please be aware we do not have access to any card details. Clicking on the booking forms will utilise a third party secure hosted booking and payments system protecting your financial data. Details of their Privacy Policy can be found by clicking on the "Powered by Beyonk. Secure bookings" link at the bottom of each booking form.
What we do with the information we gather
We use the information we collect to understand your requests, provide you with services, to improve the service we provide to you, and in particular for the following reasons:
To provide information to you that you request from us relating to services, purchases, guidance, updates.
To inform you of any changes to the website or services you have purchased or expressed an interest in.
To ensure that the leader of an activity you are partaking in has the details of your booking and emergency contact information you provided. This information may be printed to ensure the information can be accessed if needed during the activity but if printed it will be either returned to you or destroyed after the activity.
Internal record keeping.
We may use the information to improve our products and services or to customise the website according to your interests.
Photographs taken during activities may be used for promotional purposes or on our social media unless you have indicated that you or any member of your booking do not agree with this. You can also request the removal of any photograph you or any member of your booking are included on by contacting us.
We may periodically provide promotional information about new products, special offers or other information which we think you may find interesting using the contact information which you have provided. Such additional information will only be provided where you have consented to receive such information.
From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, or mail. Such additional information will only be provided where you have consented to receive such information.
If you have previously agreed to us using your personal information for promotional or market research purposes, you may change your mind at any time by writing to or emailing us.
If you believe that any information we are holding on you may have changed or is incorrect or incomplete, please write to or email us as soon as possible. We will promptly correct any information found to be incorrect.
